This article will go over the icons that are found under a clients name in the CRM tab.  The icons found in the CRM client's record are:  Stats, Notes, To Dos, Calls, Packages, Meetings, Events, Orders, Quotes, Invoices, Credit Cards, Delivery Addresses, Send Mail, Formed Responses, Recorded Calls and Deposits.   Anytime you put your mouse over any of these icons the name of the icon will appear.





1.  Click on the CRM tab and Search for your client's name.  Then click on the client's name.



2 - Below the search box in the CRM tab you will see the icons appear to the Right of the Client's name.



3.  Anytime you scroll your mouse of the icon the name of the icon will appear.



4.  This next section will show the Icons name and explain what that icon does.   Each one will have a video showing you how to use the icon as well.


 A - Stats Icon:  The Stats icon will show the client's first date to order.   The current number of orders.   The current amount spent.  Most recent order.  Contact information for the clients.   Any notes that have been highlighted for the client.  By default the Stats Icon will appear when you first search for the client's record.  Video: 








B - Notes Icon:   The Notes icon will show any notes that you want to keep under the clients record.   The notes by default are private and can not be viewed by the customer.   But you can choose to email the notes to the client as well as make the note visible to the client.   You can also highlight the note so that the note will appear under the Stats icon.  Video: 





C - To Do's Icon:   The To Do's icon will allow you to schedule a to do on your calendar (activities appear in blue by default on your calendar).  You can assign the To Do to a specific employee, date and time.   You can create a text or email reminder as well.  To decorate the banquet room for the next days booking.  Video:  





D - Phone Call Icon:   The Call icon will allow you to schedule a phone call on your calendar (activities appear in blue by default on your calendar).  You can assign the Phone Call to a specific employee, date and time.   You can create a text or email reminder as well.  An example would be to call to get the final catering orders numbers for an event.  Video: 





E - Package Icon:   The Package icon will allow you to schedule a a reminder to mail a package on your calendar (activities appear in blue by default on your calendar).  You can assign the Package to a specific employee, date and time.   You can create a text or email reminder as well.  An example would be to mail the catering agreement form.  You can also view the marketing letters that have been sent to this client as well.  Video:  





F - Meeting Icon:   The Meeting icon will allow you to schedule a Meeting on your calendar (activities appear in blue by default on your calendar).  You can assign the Meeting to a specific employee, date and time.   You can create a text or email reminder as well.  An example would be that your are meeting the bride and groom for a tasting.  Video: 




G - Event Icon:   The Event icon will allow you to schedule an Event on your calendar (activities appear in blue by default on your calendar).  You can assign the Event to a specific employee, date and time.   You can create a text or email reminder as well.  An example would be that your are giving 5% back of your dining room sales to the local elementary school.  Video: 





H - Order Icon:   The Order icon will show you all the past orders the customer has created.  Here you can open the order to the Order Function drop down box or delete the order.  You can also start a new order under this icon as well for the client.  Video:  





I - Quote Icon:   The Quote icon will show you all the past quotes the customer has created.  Here you can open the quote to the Quote Function drop down box or delete the quote.  You can also start a new quote for this customer as well.  Video:  





J - Invoice Icon:   The Invoice icon will show you all the past orders the customer has had created.  Here you can open the invoice to view the invoice or access the invoice page found under the accounting tab.  Video:  




K - Credit Card Icon:   The Credit Card icon will all you to view the credit cards the clients has stored with you and add a new credit card.   You will only be able to see the last 4-digits of the credit cards the client has stored.  Video:  


 





L - Delivery Address Icon:   The Delivery Address icon will allow you to store all the different delivery addresses the clients has had food delivered to in the past.  Here you can create a new delivery address, edit an existing delivery address, delete a delivery address or view the google map directions on how to get from your location to the delivery address location.  Video: 





M - Send Mail Icon:   The Send Mail icon will allow you to create a custom letter to send to a specific customer or to a group customer.   Letters are $1.51 per letter to be mailed.   Letters will include your color logo.   The $1.51 will be deducted from your variable fee fund.  Video:

O - Recorded Calls Icon:   The Recorded Calls icon will only appear if your package included the call feature.  If you would like to learn more about this feature or turn on the feature please schedule a session with Jillian:  https://app.hubspot.com/meetings/jillian3/marketing-meeting-  Here you can look to see how many conversations you have had with this client.   You can listen to the conversation, email the conversation as well as delete the conversation.  Video:  






P - Deposit Icon:   The Deposit icon will show you if a deposit has been made.   You can not collect a deposit under this icon.  Here you can look to see if the deposit has been applied to the payment as well as view the deposit that was created.  Video:  




Q - Gmail Icon:   The Gmail Icon will allow you to send emails to your customer and keep the email record in the CRM tab.   The customer's reply will also be recorded in the CRM tab.  You can also look at past emails that have been sent to the client.  To learn how to activate this feature you will need to see the article on Gmail.  Video:  






R - Permission Based Menus icon:  This icon will allow you to select customers that have permission to view specifically created menus.   This setting will allow specific clients to place orders online through your RCS account for specific menus but will keep the menu hidden from clients that do not have permission to access the menu.  Once you click on the Icon then a pop up box will appear. Check the box off for the menus that the customer is allowed to view and click on the Save Changes tab.
